Job Title: Administrative Manager

Job Summary:
We are hiring on behalf of our esteemed client **Kuala Lumpur & Selangor Indian Chamber of Commerce & Industry (KLSICCI)**

The Administrative Manager plays a crucial role in ensuring the smooth and efficient functioning of the Chamber of Commerce & Industry's administrative operations. This position is responsible for overseeing various administrative functions, managing office resources, and providing support to the Executive Director and other team members. The Administrative Manager ensures that the Chamber's administrative processes are well-organized, enabling the organization to effectively serve its members and stakeholders.

Key Responsibilities:
1. Office Management: Supervise day-to-day office operations, including managing office supplies, equipment, and facilities. Ensure a clean, organized, and productive work environment for staff and visitors.

2. Financial Administration: Assist in budget preparation and monitor administrative expenses to adhere to financial guidelines. Collaborate with the Finance department to handle invoices, payments, and financial record-keeping.

3. Human Resources Support: Coordinate human resources functions, such as recruitment, onboarding, and personnel records maintenance. Assist in administering employee benefits and supporting HR-related processes.

4. Event and Meeting Coordination: Assist in organizing Chamber events, meetings, and seminars. Coordinate logistics, manage RSVPs, and provide support during the events.

7. Data Management: Maintain accurate and up-to-date records, databases, and filing systems. Safeguard sensitive information and ensure compliance with data protection regulations.

8. Technology and IT Support: Liaise with the IT department or external vendors to address technical issues and maintain office technology. Provide basic IT support to staff as needed.

9. Administrative Support to Executive Director: Assist the Executive Director with scheduling, meeting preparation, and other administrative tasks. Act as a point of contact between the Executive Director and internal/external stakeholders.

10. Policy and Procedure Compliance: Ensure adherence to established administrative policies and procedures. Identify opportunities for process improvement and implement best practices.

Qualifications:

- Bachelor's degree in business administration, management, or a related field.
- Proven experience in administrative management or office coordination.
- Strong organizational and multitasking skills to manage multiple priorities effectively.
- Proficiency in using office software, such as Microsoft Office Suite and databases.
- Excellent communication skills, both written and verbal.
- Attention to detail and a commitment to maintaining accuracy in administrative tasks.
- Ability to work collaboratively with a diverse team and interact professionally with stakeholders.
- Familiarity with basic human resources practices is a plus.
- Knowledge of chamber of commerce operations and/or the business environment is beneficial.

**Salary**: Up to RM4,500.00 per month
