Receptionist/administrative Assistant

Perform general administrative support primarily to MD / CEO office, the administration of stationaries and commissaries supply and the operation of HQ front office and meeting rooms, and so that the administrative requirements of the assigned areas are fulfilled as per stipulated requirements, agreed qualities and planned timeline.
- Manned HQ reception desk and ensure its continuous operation during the official working hours i.e. 8.00 AM to 5.00 PM so that the reception desk is always staffed and secured during office hours.
- Receive, screen and direct guest to the appropriate staff so that the guests are properly attended, and office is secured from unwelcome guest.
- Receive, screen and response to all telephone calls that come through the general line and if required take message or redirect it to the appropriate receiver so that all incoming calls are promptly entertained, and office is secured from unsolicited telephone calls.
- Check, accept, open (if allowed & required) and date stamp all incoming mail/parcel/fax and notify the recipient so that the incoming mail/parcel/fax etc. are responded accordingly.
- Provide administrative support for HQ’s meetings i.e. reservation of meeting rooms, invitation and confirmation of meeting invitees, ordering of refreshment and preparation of stationaries for meetings at HQ office so that meetings’ requirements are fulfilled as per agreed quality and timeline.
- Assist in administering the provision of office stationaries and pantries consumable commissaries so that the material is ordered as per office requirement, the stock level is adequate and the supply is uninterrupted.
- Perform other related administration duties as required by superior.
