Personal Assistant to CEO

**JOB OBJECTIVES**
- Ensure the smooth and efficient administration of the tasks in the CEO’s office.
- Co-ordinate and make preparation for meetings/Board meetings.
**KEY ACTIVITIES**
1. Act as a first point of contact: dealing with appointments requests by employees and phone calls.
2. Manage CEO’s calendar, organizing and schedule meetings, events, and appointments.
3. Schedule, arrange, invite, coordinate, and make preparation for meetings for Board of Governors (BOG), Senior Management, Management and College which involves:
- Booking of meetings rooms and venues for meetings, functions, and events.
- Ordering of food and beverage for lunches and teatime.
- Recording and preparing minutes of meetings, compilation of info packs for presentation and discussions at the meetings and filing of approved minutes and info packs.
- Preparing documents/reports for presentation by the CEO at the Board meetings.
- Preparing documents/reports for the BOG at the Board meetings.
4. Filing of CEO, Senior Management, Management and BOG documents in physical and electronic storage.
5. Deliver original documents from government bodies, authorities, external parties to relevant Head of Departments (HODs) for safe keeping.
6. Collating, claiming, and filing of business expenses of the CEO.
7. Liaising with HODs, academic staff and non-academic staff.
8. Booking and arranging travel, transport, and accommodation for CEO.
9. Reminding College’s Management and staff of important tasks and deadlines.
10. Assisting CEO in the Strategic Management Office functions:
- Primary responsibility is to oversight and administration of strategy execution.
- Serves as central function that ensures organization sustains its focus on strategy - from development to execution by integrating Strategy-Focused concepts, principles, and best practices into the fabric, cadence, and processes of the organization.
- Provides an integrated approach to strategy management process that bridges traditional functional domains.
- Ensures integration of governance systems to strategy management process.
11. College activities (ie: Graduation Ceremony):
- Preparing VIP listing.
- Any other matters that related to Guest invitation.
12. To perform any other duties as and when assigned by the CEO. JOB
**REQUIREMENTS**
- A recognized Bachelor’s Degree in any discipline is preferred.
- Prior working experience is required, preferably with 5-10 years of working experience as Personal Assistant.
- Ability to maintain high confidentiality of matters related to the CEO’s office (including info obtained from meetings).
- Excellent English communication (written and oral) and interpersonal skills.
- Proficiency in Bahasa Malaysia is compulsory.
- Possess high adaptability, hands-on, strong organizational, multi-tasking and time management skills.
- Proven ability to work independently with minimum supervision.
- Good interpersonal & communication and stakeholders management skills.
- Computer literate and proficient in Microsoft Office (Outlook/Word/Excel/Power Point).
Pay: RM5,000.00 - RM5,500.00 per month
Schedule:
- Monday to Friday
