Job Description

We are seeking a highly skilled and experienced Executive Secretary to join our team. The successful candidate will be responsible for providing exceptional administrative support to our Directors, ensuring seamless day-to-day operations, and maintaining a high level of confidentiality. Key responsibilities include:

  • Acting as the first point of contact for correspondence and phone calls, utilizing excellent communication skills and discretion
  • Maintaining organized systems for tracking, monitoring, and prioritizing tasks, ensuring timely completion and follow-through
  • Completing deliverables with a hands-on approach, demonstrating initiative and problem-solving skills
  • Planning and organizing extensive travel and accommodation arrangements, showcasing attention to detail and adaptability
  • Conducting research on behalf of the Directors, performing personal shopping, and running errands independently
  • Providing high-level confidential support to the Directors, including secretarial and administrative services
  • Undertaking special assignments and ad-hoc functions, demonstrating flexibility and a proactive approach
Requirements

To succeed in this role, you will need:

  • A minimum 5-8 years of experience in a related Secretary/PA position, preferably with a relevant degree
  • A positive attitude and ability to work independently with minimal supervision
  • Excellent time management skills, with the ability to manage multiple priorities and competing tasks with tight deadlines
  • Common sense and good judgment, with the ability to recommend effective ways to run the Directors' office and troubleshoot issues
  • A proactive, quick, flexible, adaptable, dependable, independent, highly organized, resourceful team player with a strong sense of responsibility and willingness to learn
  • Sensitivity and attention to detail, with the ability to maintain accuracy and confidentiality
  • Experience in information finding or research using reliable resources
  • Wide experience beyond just administrative roles
  • Strong administrative, planning, and organizational skills, with professional direction that reflects the ability to perform and prioritize multiple tasks seamlessly
  • Future-oriented thinking, with the ability to actively seek opportunities and make good recommendations
  • Emotional maturity and the ability to handle stress in a fast-paced environment
  • Working knowledge of presentation software packages, preferably Microsoft Office Word, Excel, and PowerPoint
  • Experience in handling residential/commercial property construction/renovation work
  • Experience in managing private events and handling Private Charter
  • Excellent interpersonal and communication skills, including diplomacy
  • Proficiency in both written and spoken English and Bahasa Malaysia, with Mandarin being an added advantage
  • Possession of own transport and willingness to travel
  • Likelihood to enjoy pets, such as dogs and cats
